Appointment Reminder

Using the Appointment Reminder template, you can customize the appointment reminders sent out to your customers. Here’s a quick walkthrough on how to utilize this within ServiceWorks:

To view the appointment reminder template, click on the cogwheel icon in the toolbar and navigate to Notification → Appointment Reminder

In the Appointment Reminder menu, you can view and edit your list of created appointment reminder templates within ServiceWorks. To create a new appointment reminder template, click the Add New button

In the following popup, you’ll have these options for customizing your template layout:

Configuration

In the Configuration tab, you can enter a name for this appointment reminder template, as well as associate a job type with the template. When linked with a job type, the selected template will be what is sent out as a correspondence for those specific types of jobs.

You can also set the interval time to send out reminders as well as a specific time to send them (Note: Reminders will send out within 3-5 minutes of their assigned notifiacation time)

You can assign multiple job types to a template at a time, so that it will default to the specified template for jobs scheduled with the job type.

Template Details

Within the Template Details tab, you can edit the email that gets sent to your customer whenever an appointment reminder is generated

The Enabled Automated Notification checkbox indicates that these emails are active within your ServiceWorks account. You can use the From Email Address and Email Subject fields to edit both the email address the message is being sent from and the text for the subject of the sent emails.

With the Text & Robocall templates, you can also create a message to be sent via text or phone call. Click the Enabled Automated Notification checkbox on either template to activate automation. You can also preview these messages by entering the ticket number in the Preview field and then clicking the button.

With the text message template, you can have your customers confirm that they’ve seen the reminder by replying with “1. “. You will need to insert a message instructing your customers to press 1 to reply in this template section; otherwise, they may be unaware of this feature.

Once the appointment reminder has been replied to, you’ll receive a notification of the customers confirmation within the job’s log



Note: The robocall template has a limit of 160 characters; please keep that in mind when creating your messages.

Configure Fields

In the Configure Fields tab, you can edit how your technician’s name appears on the appointment reminder


When finished with your selections for your appointment reminder, click Save to complete the configuration for your appointment reminders
