Invoice Template

The Invoice Template can be configured to edit the format of your invoices that are sent to customers. Here’s a brief explanation on how to access and edit this template within the ServiceWorks software

To begin, click the cogwheel icon on the toolbar to open the Configuration tab and navigate to Configuration → Invoice Settings Invoice Template

In the Invoice Template menu, you can view and edit your list of created invoice templates within ServiceWorks. To create a new template, click the Add New button

In the following popup, you’ll have these options for customizing your template layout:

Configuration

In the Configuration tab, you can enter a name for this invoice template, as well as associate a job type with the template. When linked with a job type, the selected template will be what is sent out as a correspondence for those specific types of jobs

You can assign multiple job types to a template at a time, so that it will default to the specified template for jobs scheduled with the job type.

Invoice Email

Within the Invoice Email section, you can edit the email that gets sent to your customer whenever an invoice has been created.

The Enabled Automated Notification checkbox indicates that these emails are active within your ServiceWorks account. You can use the From Email Address and Email Subject fields to edit both the email address the message is being sent from and the text for the subject of the sent emails.

With the Text & Robocall templates, you can also create a message to be sent via text or phone call. Click the Enabled Automated Notification checkbox on either template to activate automation. You can also preview these messages by entering the invoice number in the Preview field and then clicking the button.

Note: The robocall template has a limit of 160 characters; please keep that in mind when creating your messages.

Invoice Template

To preview your current template configuration, type the invoice number in to the field next to the Preview button and click the button to view a draft of what your customers will see

Within the template body for the invoice, you can use dynamic data text to customize the current format of your invoices. You can use the toolbar to access various formatting options, as well as use the legend on the right-hand side to view the dynamic text that is available for this template

To preview your current template configuration, type the invoice number in to the field next to the Preview button and click the button to view a draft of what your customers will see

Within the Field Configuration section, you can enable or disable certain criteria from appearing on your invoice whenever specific dynamic data texts are used.

The first group of configuration pertains to the {ServiceItems} and {ServiceItemsOnly} tags, which relates to any services on the invoice

The next group of toggles is for the {ProductItems} tag, which refers to inventory items added to the invoice

Next, we have a section based on the {Bundles} tag, which will affect how bundled items appear on the invoices template

And the last group is for the {CustomerSignature}, {PaymentDisclaimer}, and {Disclaimer} tags, which will determine how your customer’s name and time stamp appear

Once finished with your changes, be sure to click Save before continuing.
