What is A Job Template?
Imagine you have a favorite sandwich shop, and they make the exact same “Turkey Club” sandwich every single time. It has the same bread, the same amount of turkey, the same amount of toppings, and it’s always cut the same way. How do they do that? They likely have a recipe for it.
A job template is just like that recipe, but for services that companies would regularly perform.
Typically speaking, within the appliance industry, a job template is a pre-made, standardized plan or checklist for a common job. It spells out:
What needs to be done: A list of all the steps, from start to finish.
What’s needed: A list of common tools, parts, or even skills required.
How long it should take: An estimated time for the job.
Any specific instructions: Important notes or safety procedures.
So, if a company frequently installs dishwashers, they’d have a “Dishwasher Installation” job template. If they often fix refrigerators that aren’t cooling, they may have a “No Cool Refrigerator Repair” template.
Why Use A Job Template?
Consistency (Do It Right, Every Time): Imagine your favorite coffee shop. You expect your latte to taste the same, no matter who makes it. A job template ensures that every time a job is done – like installing a dishwasher or fixing a fridge – it’s done the exact same way, following all the best steps. This means higher quality for customers and fewer mistakes.
Efficiency (Get More Done, Faster): When a technician has a clear checklist for every job, they don’t waste time figuring out what to do next or what tools they need. They just follow the “recipe.” This means they can complete jobs more quickly, get to more customers in a day, and spend less time scratching their heads.
Better Planning (Know What’s Coming): If you know precisely how long a “washer repair” should take because your template tells you, you can schedule your technicians’ day much more accurately. No more guessing! This helps avoid overbooking, reduces customer waiting times, and ensures your team is always productive.
In order to create a job template, you’ll first need to create a job for a customer, including any activities, surveys, job forms, and documents and then save the job as a template. Once saved, you can then access the template to quickly schedule services and appointments with all the pre-loaded information ready to go.
Here’s a guide on how to create and use job templates within the ServiceWorks software:
Creating Job Templates
Start by logging to your ServiceWorks account and hover over the Customer tab in the toolbar and click on Customers from the dropdown field.

Next, search for your customer by using the search fields or scrolling through the list below. Once you’ve located the your customer account of choice, hover over the three dots underneath the Action column and select Job Template from the dropdown field.
Now create a job, including any extra forms or documents, services, charges, or items needed. Once you’ve finished entering this information, click Save Template to return to the previous menu or Save & Add Template to create more job templates.
Please note that creating a job template will schedule the job for the current day by default. Please edit the scheduled date this before saving if the job is intended to occur in the future.
Using Job Templates
Now that you’ve saved your job template, you’re ready to start scheduling jobs! To use your newly created template, hover over the Customer section of the toolbar and select Job Template from the dropdown field
In the job template menu, you’ll see a list of all the jobs that have been created and turned into templates. These jobs can be searched by Customer Name, Zipcode / Pattern, City, Phone Number, Call Source, or Job Type
When you’ve located the job template you wish to use, hover over the three dots in the Action column to be given a few choices for the job template:
- Edit – This allows you to go back and edit the job template. (Note: Editing the job template will only affect jobs created after changes have been made)
- Delete – This will delete the current saved job template (Note: Deleting a job template does not delete any jobs created using the template)
- New Job – Clicking this option will create a new job using the settings in the job template, taking you directly to the created job
New Job Creation
Upon clicking the New Job option, a job will be created using the same information stored on the job template. To setup this job for a new or different customer, here’s what you’ll need to do
- Reset Customer – While you can click and delete the individual customer information to enter new info, you can also use the Reset Customer link next to the secondary phone number to quickly remove any previous customer information from the job. This will ensure that no accidental information is left over from the initial customer before entering any new informaton
- Check the Scheduled Date – Again, creating a job from a job template will schedule the job for the current day. Be sure to doublecheck and edit the Schedule portion of the job ticket before navigating away from this page
Job Templates via Mobile App
Job Templates can also be accessed within the ServiceWorks Pro app, allowing you to create jobs from the preset template directly from your mobile device in the field.
To view them, start by logging into the ServiceWorks Pro app, then tapping the menu icon in the upper left corner of the screen to open the sidebar. From the sidebar that appears, tap Job Management
In the job management menu, tap Job Template
Now, in the job template menu, tap on the arrow next to the job template you wish to use.
And once in the specified job template, tap the New Job button.
And much like on the desktop, it’ll create the job once tapped. From here, you can edit the customer information and adjust the date to ensure the job is scheduled for the right time and date.
And once you’ve confirmed your new customer information, you’ve successfully created a job using the job template.
