Did you know that you can assign forms without having to have a job associated with them? You now have the ability to have your technicians in the field complete Daily Forms, which are free floating forms, separate from their scheduled jobs for the day. This feature can be useful in situations such as:
- Performing routine checks on service vehicles before the day
- Creating a checklist of items to be completed between assignments
- Going over a checklist at the end of the day
And many other applications. Let’s go into detail about how to utilize this within your ServiceWorks account:
Enabling Daily Forms
Before you can create daily forms, first you’ll have to enable them. Start by logging into your ServiceWorks account and clicking the cogwheel icon in the upper right hand corner to open the Configuration tab. In the tab, navigate to Admin -> Permission

Once in the permission menu, set the first drop down to the desired user role for daily forms (this will typically be the professional role). In the list below, you should see the permission settings for the Daily Form. Enable the View and Edit boxes, and then refresh the page to continue

Creating A Daily Form
Now that you’ve enabled the permission to view them, you’re ready to create your first daily form. To begin, click the cogwheel in the toolbar to open the Configuration Tab and navigate to Form Settings -> Forms

In the forms menu, you’ll see a list of any previously created forms along with a search bar for filtering the results of the list below. The forms can be edited, deleted, or cloned using the three dots at the end of the row.
To create a new daily form, click the + button in the upper-right corner

And once in the form menu, be sure to set the form type to Daily Form, otherwise these won’t appear within the daily form list.

You’ll have the following customization options when creating your daily form:

Question
You can use this field to create a title for your job form or to ask a general question

And by pressing the + button on the right hand side of the form title to create a new question, the T icon to create a new title, or the image icon to insert a picture into your form

When creating a new question, you should initially see the image in the example below, allowing you to create the criteria for your question

As well as use the dropdown field to select the type of question for your form

And in each question, you can enable or enforce a signature for confirmation. There are no limits to the number of questions you can create, so feel free to customize each form for your business needs.

Once you are finished creating your form, be sure to click the Save icon to store your changes.
Completing Daily Forms
Once enabled and created, your techs can now fill out the daily forms when they start their days. When logged into the ServiceWorks Pro app, they’ll now see a new panel towards the bottom of the dashboard: Daily Forms

And this link will lead you to a list of daily forms to be completed. Submitted forms will be signified by a green check mark next to them.
Viewing Completed Daily Forms
Once your daily forms have been submitted, you may wish to view the information entered into the form itself. This can be generated by using the Daily Forms Report.
To do so, log in to the desktop version of ServiceWorks, and then click the Reports tab in the toolbar.

Once in the Reports menu, navigate to the Employee Reports column and click on the Daily Forms Report

And from here, you can generate a report for any Daily Forms completed based on the employee that submitted the form and which daily form was submitted (if you have multiple)
