Personalized Email Setup – Outlook / Office365

To begin, click on the cogwheel in the toolbar to open up the Configurations Tab and navigate to Notification -> Personalized Email


In the Personalized Email menu, you’ll have the following options available for enabling your personalized email account:


Once you’ve reached the Personalized Email screen, enter this information in the fields:

Check the Personalized Email checkbox to ensure this feature is enabled

SMTP server: smtp.office365.com

SMTP port: 25, 587, or 486

Enter From Id: Enter your outlook email address

SMTP username: Your Outlook Mail email address

SMTP password: Your outlook email password

Check the Is SSL Enabled checkbox

Once finished, click Save to continue. Once finished with the setup, we recommend sending a test email to ensure that the setup process was successful

You will need to log out of ServiceWorks as well as close any open ServiceWorks tabs to complete the setup process

1. Launch the Outlook mail app (web version), and sign in with your account credentials.

2. Click on the Settings icon on the top of your toolbar in the Inbox window.

3. From the dropdown menu, click on View all Outlook Settings.

4. In the Settings window, click on Mail and then Sync Mail.

5. Choose the Yes radio button under POP options, and then click Save.

Now that you know how to configure another mail app to send emails from your Outlook address, I’ll show you how to send emails from another mail app account using Outlook:

How to Set Up the SMTP Server in Outlook

1. Launch the Outlook desktop mail app, and sign in with your username and app password.

2. Click on the File menu, then select Info and click on Account Settings.

3. From the Account Settings dropdown menu, select Manage Profiles, and a Mail Setup window will appear.

4. Next, click on the Email Accounts button within the Mail Setup window.

5. Select your e mail account and click Change.

6. In the Change Account window that appears, click on More Settings.

Note: I’m using a Gmail account here. That’s why the “Incoming mail Server” says imap.gmail.com and the “Outgoing mail Server” says smtp.gmail.com.

7. From the Internet Email Settings window, select the Outgoing Server tab.

8. Under the Outgoing Server tab, tick the checkbox that says “My outgoing server (SMTP) requires authentication” and click the Log on using radio button.

Insert the username (the email address from which you send the email) and password into their respective fields. Moreover, ensure that the “Require Secure Password Authentication” box is unchecked.

9. Next, click on the Advanced tab.

In the Advanced tab, choose the SSL/TSL encrypted connection from under the “Use the following type of encrypted connection” dropdown list and click OK.

That’s it — you’ve completed the configuration of your SMTP settings to send emails from a non-Outlook account through Outlook!

Here are the things you need to do.

  1. Create an App password for the account you are using for personalized settings. Allow users to create App Passwords in Office 365 | Multi-factor Authentication – Service Works Blog
  2. Use the MX record as your SMTP server name. Please read here to find your MX record. What is the hostname of my Office 365 MX records? – Service Works Blog
  3. Use Port 25
  4. Enable SSL
  5. Use the app password created in step 1
  6. Configure your server to add connectors with the following settings:

Configure Connector in your Exchange Server

Go to your exchange admin center. Go to Mail Flow, then Connector. Add a new connector.

  • Name: SW Personalized Email
  • From Your Organization
  • To Office 365
  • Verify the IP address of the sending server; it should have all these IP addresses, as shown in the picture below.

Now that you’ve setup and enabled your SMTP server, you can now connect it with your ServiceWorks account. To begin, click on the cogwheel in the toolbar to open up the Configurations Tab and navigate to Notification -> Personalized Email

SMTP port: 993

Enter From Id: Enter your outlook email address

SMTP username: Your Outlook Mail email address

SMTP password: Your generated password from Outlook OR your outlook email password

Check the Is SSL Enabled checkbox

Once finished, click Save to continue. Once finished with the setup, we recommend sending a test email to ensure that the setup process was successful
