Schedule – Daily Time Slot

Here’s a quick overview of how to use the Daily Time Slot scheduling view, one of the many ways to assign and schedule your jobs within ServiceWorks:

Start by logging into your ServiceWorks account and clicking the clock icon in the lower right hand corner of the screen. (You can also use the Default checkbox to set this view as your default view when logging in.)

In the Daily Time Slot view, you can see a grid view of jobs by the technician (or warranty processor) assigned to the job.

At the top of the grid, you’ll see the name of each individual technician or processor, along with a total sum of the charges for the day’s scheduled services

By default, all of the filters for your technicians will be set to active. You can use the filters to search for a professional or display the time slot view by team, technicians, all resources, the job’s status, the job’s scheduled zone, and job type.

With the inclusion of the All Resources filter option, you can see a complete list of all the technicians, teams, warranty providers and third-party contractors, all within the same schedule view

Disabling the checkmarks next to technician or processor names in the filter will remove their column from the generated grid view

Much like the other scheduling views, these jobs can also be stretched over the time slots to reflect the amount of time the scheduled service

And clicking on the scheduled time slot brings up a menu where you can edit the job

You can use the unassigned jobs feature to assign technicians to jobs. Start by clicking the Unassigned Jobs tab at the bottom of the menu

From the Unassigned Jobs popup, select the job you wish to assign.

When selected, the job will appear highlighted. This can be done with multiple jobs as well

When you’ve selected your jobs, the technician columns will now display a distance measurement, allowing you to view the closest available technician when assigning jobs.

You can now either drag and drop the unassigned job to a time slot

Or click a time slot to assign the job

In the grid view, you can see previously scheduled and assigned jobs by the hour in which they are scheduled.

Next to each technician, team, or third-party name in the grid, you’ll also see a 3-dot menu

Clicking on the dots will bring up two scheduling options for the current jobs assigned to the tech/team: Optimize Route and Reschedule Route

Optimize Route

This selection will use the optimization feature to create the shortest route between scheduled jobs for the day. When clicked, the menu will take into account when optimizable jobs are scheduled (AM, PM, or all day) and reorder them by location on the schedule. (Note: You will need to have optimization active and enabled in your account to utilize this option.)

Reschedule Route

This option allows you to manually oversee the rescheduling of all jobs assigned to the technician selected.

Clicking on the option will take you to the reschedule screen where you can view the following:

  1. Reschedule To: Select a date to reschedule the assigned jobs. This date will be reflected in parts 4 & 5 once selected
  2. Technician / Team: Use this dropdown box to select the technician or team to reschedule the jobs to. For rescheduling jobs to the same user, keep this the same
  3. Current Scheduled Jobs: View a list of the jobs currently scheduled to this technician in this column
  4. Selected Reschedule to Date: This column will display any scheduled jobs for the selected technician for the designated “Reschedule To” date.
  5. Reschedule Preview: This column will display the end result of rescheduling the scheduled jobs to the team. If satisfied, click Commit to verify these scheduling changes.
