Parts Needed Workflow Update

We’re excited to announce new updates and enhancements on how the job status workflow will function when it comes to marking jobs as Parts Needed.
Here’s a breakdown of how these will reflect on your jobs in ServiceWorks:

Key Scenarios for Parts Needed Automation:

  • Parts Needed Status (Single Trip): If a user clicks “No” when being asked to complete a single-trip job that has parts, the job status will update to “Parts Needed.”
  • Parts Needed Status (Multiple Trips): For jobs with parts and multiple trips assigned, the job status will only update to “Parts Needed” if the user clicks “No” on the last trip.
  • Job Log Updates: Any job status changes initiated by this workflow will be logged in the job log, providing a clear audit trail of all status changes made during the job’s lifecycle.
  • No Parts, No Status Change: If a user clicks “No” when asked to complete a job that has no parts attached, the job status will remain unchanged.
  • Existing “Parts Needed” Status: If a job already has a status of “Parts Needed,” clicking “No” when completing it within the mobile app will now leave the job status as “Parts Needed“. This will aid in avoiding redundant status updates and ensure the job remains in the appropriate status.
  • “Yes” Clicks and Completion: Clicking “Yes” during job completion confirmation will change the job status to “Complete” (or the user-specified status) regardless of whether the job has parts attached.
  • Item Disposition Handling: The workflow now intelligently handles various item dispositions:
    • No Status Change (Specific Dispositions): If a user clicks “No” when asked to complete the job and the job has parts with dispositions of “Delivered,” “Back to Stock,” “Return to Vendor,” “Return to Shop,” “Quality,” or “Wrong Part in Box,” the job status will not be updated by the workflow. This recognizes that these dispositions often indicate the part is handled, even if not physically present at the job site.
    • Parts Needed for Other Dispositions (Multiple Parts): If a user clicks “No” while being asked to complete the job and the job has multiple parts, and at least one part has a disposition other than those listed above (Delivered, Back to Stock, etc.), then the job status will be updated to “Parts Needed.” This ensures that jobs requiring parts with other dispositions are correctly flagged.
