ServiceWorks Domain Name Server (DNS) Email Setup

The following tutorial will help you get your exchange server up and running with ServiceWorks quickly and easily

First step on this journey is to email support@service.works. In your email please let them know you will be using an exchange and let them know your Domain name, for example workorders.com, appliancerepair.com etc.. (more than likely this will be the .com at the end of your email address, but we don’t want to assume)

Once your email is received into our ticketing system you will soon receive an email from SendGrid <no-reply@sendgrid.com> please be sure to add this to your safe senders list, or check your spam folder if it does not hit your inbox within an hour or 2. (after hours and weekends excluded)

Please come back to this tutorial once you have received that email.

Great! Now we can get started on getting those emails rolling out the door!

The email you received from SendGrid had a clickable URL inside. Once you clicked that you are more than likely looking at a page that has information looking much like this: (the image below is using fake info, please do not use this information, use the entries from the link in your email).

Next, you’ll need to log into your DNS Server, or Domain Server. This is usually the site that is hosting your website/domain, like GoDaddy, Squarespace, Dreamhost, and many others. 

If you are unsure where or how to login to your DNS server please check with your team.

Once you are logged into your domain server click on DNS, then DNS Settings (you may have to select your domain first if your Domain Server hosts a few different websites)

Entering the SendGrid Keys

Within the DNS Settings page, click the Add Record button 

Once clicked, some sort of window or option will appear to let you enter the new record. (Each DNS provider has a different look and feel some fields may be represented differently)

Review your DNS screen for any errors.

Some DNS servers automatically add your domain name, in this case do not enter exactly what you were sent from SendGrid.
For Example:
In you review, if you see “s1._domainkey.holland.com.holland.com” this will fail. You have a server that is auto adding your domain. Only type in the s1._domainkey and let your server add the domain ending.

If the 4 records are displaying as given in the SendGrid link. Please go to step 2 on the SendGrid Screen.

Click the “I’ve added these records” option, once done the “Verify” button will light up.

Please click “Verify” this will verify that your have entered the DNS entries correctly.

Depending on you TTL settings the propagation of these entries could take some time (up to 24 hours) for more information on making this happen quicker check out this blog https://runcloud.io/blog/how-to-speed-up-dns-propagation

Once you get the “green light” in SendGrid you can move on to the next step.

Once logged into the ServiceWorks platform, please go to Configuration Settings > Notification > Personalized Email. You will be presented with this screen:

Personalized email box should remain unchecked

–SMTP Server Address: smtp.office365.com

–Port: 587

–Email from Id: enter your desired email (the domain should match the domain sent in to be registered)

–SMTP User Id: same as entered for Email from Id

–SMTP Password: No longer required. (if you would like to setup even more security you can set up an app password in your SMTP user setup.)

Click the Save button.

You should get a “Saving was successful” message.

The email address domain you have just setup should also be listed in your configuration settings > Site Settings.

Email setup is now complete! Depending on your propagation time for your DNS server, once you have gotten the green light that they were registered successfully AND your personalized email is setup. Your email is ready to go. Please verify by sending an email to an external email address.
