What are Activities?
This feature in ServiceWorks allows businesses to create, assign, and track specific tasks for their field technicians and office staff. It centralizes all task-related information, including due dates, priorities, and associated customer or job records. This enables real-time updates on task status and provides valuable data for time tracking and reporting.
Why Use the Activities feature?
You can utilize this feature within ServiceWorks to significantly enhance organization and efficiency, ensuring no task is missed and workflows are standardized. It boosts accountability by clearly assigning responsibilities and enables accurate time tracking crucial for billing and payroll.
Enabling Activities
Before you can begin to assign activities to jobs and estimates, you’ll first need to ensure that the permission to do so is active within your user account.
Start by logging into your ServiceWorks account and clicking on the cogwheel in the toolbar to open the Configuration tab. Once opened, click on Admin, and then Permissions

Next, in the permission screen, set the first drop down box to your desired role and the second to Job

Now, extend the job modules with the + button and enable the View, Edit, and Inherited options for Activity.

Creating Activities
Now that you’ve enabled the Activity permission, you’ll now have access to create, edit, and customize your activities within ServiceWorks.
Start by returning to the Configuration tab (or by clicking the cogwheel in the toolbar), then clicking on Job Settings and selecting Activities

Once in the activities menu, you’ll be presented with a list of preset activities based on your business. These can be edited with the pencil icon or deleted with the cross icon. To create a new activity, click the Add New button.

In the following menu, you’ll be given the option to name the activity and provide a description for the activity. You can also used the Default checkbox to automatically add this activity to each job once created. When finished with your changes, click save to continue.

Now that you’ve created a new activity, it should appear within the list of preset activities. You can use the Add to Job Automatically buttons to add this or any number of activities to jobs when created

Assigning and Completing Activities
Now for the next step: assigning activities to jobs.
If you’ve enabled the add to job automatically feature, you won’t have to worry about adding them each time, but what if you want to add a new activity or edit the activity assigned to a job? Here’s how:
To begin, start by creating a new job or opening an existing job.
In the top of the job edit menu, you’ll see an icon called Activities

Clicking on this icon will bring up the activity window, which will allow you to search, assign, and remove activities from the job. Once you’ve decided on the activities needed, click Save

In The Mobile App…
Over in the mobile app, your technician will be able to see assigned activities when entering information on jobs. The panel will be located right above the explanation of service

When clicked, it will display a list of all the current activities assigned to the job. Completed activities will appear with a green dot next to them.

Once opened, the tech will be able to see the name of the activity as well as its description. To begin tracking the activity, press Start

Pushing the start button will mark the date and time that the technician pressed the button, as well as their name. When the task has been finished, press the Stop button.

Once pressing stop to complete the task, the app will prompt the technician to leave a note on the completed activity. Once text has been entered, press Save to continue

And now that its been marked as complete, the end time will now appear beneath the activity.

And back on the desktop side…
Back in the job edit menu on the desktop, all the logged activities can be viewed by scrolling down to the Schedule panel and clicking the Activities link

And in the section, you can see the activity name, the technician that completed that activity, and the total time taken to complete the tasks.
