Editing Serial Numbers

Serial numbers don’t always stay perfect from install to service. Companies may often find the need to edit them for everyday, real-world reasons, including:

  • Typos in the field from rushed or mobile data entry
  • Damaged or unreadable serial stickers that are clarified later
  • Warranty replacements where parts or units receive new serials
  • Placeholder serials entered before installation is complete
  • Mix-ups in multi-unit locations like apartments or commercial sites
  • Inventory discrepancies between what was assigned and what shipped
  • Incorrect customer-provided serials corrected after onsite verification
  • System migrations or data imports that create formatting errors

Having the ability to quickly update serial numbers helps keep warranties valid, inventory accurate, and service history clean, without slowing down operations. Here’s a brief tutorial on how to accomplish editing serial numbers within the ServiceWorks software.

Start by logging into your ServiceWorks account then hovering over the Inventory tab and select Item from the dropdown that appears

Once in the Inventory Item menu, use the search fields to locate the item in question, then hover over the 3 dots at the end of the listed item and select Edit from the dropdown menu.

Now, in the Edit Item menu, click on the Location / Quantity tab.

Then click the Adjust Quantity button at the end of the row in the item’s current location

In the following menu, you should be able to view a list of the quantity of the selected item. Click the Edit or pencil icon at the end of the row.

Clicking the icon will populate the serial number into the Serial box.

Now you can enter the new serial number, then click +Add to update the number. Click Done when finished.

And once saved, your new serial number should appear in the line with the item
