Enhancements done in the Website

1. Stopping automatic redirection to invoice or estimate after creating a POS or POS Estimate

Previously, after creating a Point of Sale (POS) or POS Estimate, it automatically redirected users to the generated Invoice or Estimate document. This interrupted the user’s workflow, especially when they needed to perform additional actions such as adding a schedule, recording a payment, or updating other POS details. To provide a smoother and more efficient experience, the workflow has been enhanced to stop the automatic redirection. Instead, a success confirmation popup is displayed, allowing users to choose whether to open the generated Invoice/Estimate or continue working on the newly created POS or Estimate. This gives users greater control over their next step while improving navigation and overall usability.

After successfully creating a POS, a confirmation popup is displayed instead of immediately redirecting the user. The success popup includes:

Selecting the Invoice link opens the invoice in a new tab while keeping the current page unchanged.

For Estimates, the success popup includes an Estimate link that opens the generated estimate in a new browser tab.

Clicking OK or Close (X) from the Estimate success popup redirects the user to the Edit Estimate page.

2. Message Inbox Enhancement

The Messages functionality has been enhanced to improve the user experience by excluding automated system-generated messages from the Message Inbox accessed through the application header. The Inbox now displays only unread and manually sent messages, providing users with a cleaner and more relevant conversation list. This enhancement applies only to the header-level Message Inbox and does not affect message history associated with individual Customers or Jobs.

If you click the message link in the header as highlighted in yellow in the above image, it will load only the unread one as shown below.

When you open any message, the message bubble disappears and a message window opens, allowing you to view the conversation and reply directly.

A three-dot menu is also available, from which you can delete the message or create task as shown below.

There is a Search Customer option where you can search a specific customer to send message.

Note: The message window remains open and stays in place even if you navigate to other areas of the application.

3. Automatic System Log Generation for Job Activities

A new enhancement has been introduced to improve job tracking by automatically generating system logs for key system-driven activities and workflow events. These logs provide better visibility into automated actions performed by the application without requiring manual user intervention.

4. Upload Content to ServicePower

A new Upload Content to ServicePower feature has been introduced to streamline the submission of job-related documents to ServicePower directly from the job page.

The Upload Content to ServicePower option is now displayed only for ServicePower jobs for which claim has been submitted.

Users can launch the Upload Content to ServicePower popup directly from the Job Page action menu.

Click the required tab Warranty Invoice or Content and select the document(s) you want to send to ServicePower. Here we are taking ‘Warranty Invoice’ for an example.

Users can assign a Category and enter a Description (up to 60 characters) for each selected document before sending.

5. Claim Processor Setup Page Grouping

The Claim Processor Setup page has been reorganized into logical sections to improve usability and simplify configuration.

6. Route Map Date Selection and Mileage Display Enhancement

The Map functionality has been enhanced to correctly display route information based on the selected date. Previously, the map always displayed the route for the current date, even when users selected a different date. With this update, the map now refreshes correctly and displays the route corresponding to the selected date.

Additionally, the map now displays the mileage (distance traveled) for the selected route, allowing users to easily view the distance covered between route points for the selected date. This enhancement provides more accurate route visualization and improves trip tracking.

7. Apply vendor payment to multiple invoices

A new Bulk Warranty Payment feature has been introduced on the Warranty Claims Receivable page, allowing users to apply a single vendor payment to multiple invoices in one transaction.

Users can select a Vendor, choose a Payment Method.

Users can search for one or more invoice numbers and distribute the payment amount across multiple invoices within the same transaction.

8. Customer Portal Content Upload

This release introduces enhancements to the Customer Portal that allow customers to upload and manage pictures and documents directly against their service requests (only if the job is not completed). Uploaded content is automatically associated with the correct job, categorized appropriately, and made available within both the Customer Portal and the Edit Job page for improved visibility and tracking.

  1. Customers can upload pictures and documents to both new and existing service requests/jobs after login to the customer portal.

Clicking Upload Content will open Import File popup window.

  1. Content uploaded through the Customer Portal is clearly identified with the label “Uploaded through Customer Portal”.
  2. Validation has been added to ensure:
    1. Only supported file types can be uploaded.
    1. Files exceeding the maximum allowed size are rejected with an appropriate validation message.

9. Enhanced Display of Credit Card Type and Last Four Digits

The Edit Job page has been enhanced to display the credit card type along with the last four digits of the card used for customer payments, making it easier to identify payment methods while maintaining card security.

The Payment Information section on the Edit Job page now displays the credit card type (e.g., Visa, MasterCard, American Express) and the last four digits of the card used for the transaction.

Payment details remain visible after refreshing the Edit Job page, ensuring consistent and accurate display of payment information.

10. All Payments Popup in the job details page

A new All Payments popup has been added to provide a consolidated view of all vendor payments associated with a job.

Details of all payments received from vendors for the selected job are now displayed in the All Payments popup.

The popup can be accessed by clicking the All Payments link in the right panel of the Job Details page.

This enhancement provides quick access to the complete payment history for the job without navigating away from the Job Details page.

The available columns are as follows:

Payment Date: Displays the date on which payment was done.

Paying Party: This column displays values such as Customer or Vendor.

Payment Source: This column displays values such as Down Payment, Invoice Payment, Customer A/R, Customer Portal, External, and Auto Payment.

Paid By: This column has been added to display the name of the user who processed the payment. This field remains blank for External Payments and Invoice Auto Process payments.

Payment Method: This column displays the correct payment type for example Check, Cash, Credit Card etc.

For Credit Card payments, the payment method now displays the card type along with the last four digits of the credit card number.

Amount: This column shows the amounts associated with each payment.

Note: The existing Payment History section under the History tab remains unchanged to preserve its current functionality.

11. Purchase Order Email Notification Template Enhancements

A new Purchase Order (PO) Email Template Configuration has been added to provide greater flexibility in sending PO notifications. Administrators can now configure and customize the email template used for Purchase Order communications instead of relying solely on the default template. Additionally, a configurable “From” email address has been introduced. When an email address is specified in this configuration, all Purchase Order emails are sent using that address. If no email address is configured, the system automatically falls back to the email address defined in the existing Email Notification settings.

The Purchase Order confirmation email template has been updated to improve communication with vendors and provide clearer instructions.

The default message has been updated  to: “Please process the attached purchase order as soon as possible. Kindly review the order and prepare it for pickup or shipment”

The “Please do not reply to this email” disclaimer has been removed from the bottom of the email template, allowing vendors to respond directly when required.

The PO Email Automated Notification option is now enabled by default for all companies, ensuring Purchase Order email notifications are automatically sent without requiring manual configuration.

When Personalized Email is not configured or is disabled, the system now correctly displays the Company Email as the sender in outgoing Purchase Order emails.

Note: The Legend option associated with Purchase Order email notifications is an important part of this enhancement

12. Shopify Acceptable Item Filtering

A new Acceptable Item section has been introduced for the Shopify integration, allowing administrators to control which Shopify orders are synchronized with ServiceWorks based on the items included in the order. This enhancement helps ensure that only relevant orders are imported while providing greater flexibility in managing product synchronization.

1. Improvements and additions in the Email Interception

1. Accurate Job Created Date Filtering

The system now correctly stores the Job Created Date, ensuring that filters on the View All Jobs page return accurate results.

2. Improved Email Body Display

Email content is now rendered in HTML format, preserving the original formatting, styling, and layout for improved readability and a better user experience.

3. Warranty Toggle Persistence

The Warranty toggle value is now correctly saved in the DispatchMe integration and accurately reflected in the corresponding job as Warranty On or Warranty Off.

4. Enhanced DispatchMe Product Information for American Home Shield (AHS)

DispatchMe integration has been enhanced to retrieve and display additional American Home Shield (AHS) product and dispatch information, including the Dispatch Number and other associated product details.

2. Enhanced Content Description Editing on Job Details page

Users can now edit the description of existing media uploaded to a job. Previously, the Edit Content option only allowed users to delete uploaded photos and did not provide the ability to modify their descriptions.

How to Use

  1. Navigate to the Job Details page.
  2. Open the Content section.
  3. Select an existing image and tap the Edit icon. A popup window will open named “Edit Description”.
  4. Update the content description in the description field.
  5. Finally tap Update to save the revised description.

3. Red Flag Status in Job Details Page

Previously, users could only identify a red-flagged customer by the static Red Flag icon displayed on the Job Details page. To view or edit the customer’s Red Flag Note, they had to navigate to the Customer Details page, where the Red Flag icon was tappable.

With this enhancement, the Red Flag icon on the Job Details page is now tappable. tapping the red flag icon opens a popup displaying the customer’s Red Flag Note, allowing users to quickly view the information without leaving the Job Details page.
